COPS Practice Management

Substance Use Treatment Software for Program Operations

COPS is practice management software for the administrative side of substance use treatment programs. Providers manage client enrollments, scheduled sessions, attendance, notes, documents, program fees, and progress reporting in one platform. It is not presented as a complete clinical EHR, an insurance billing system, or a guarantee of compliance with treatment-record confidentiality requirements.

Treatment programs need to distinguish service participation from clinical decisions and from permission to share records. COPS helps staff connect enrollment and attendance with documentation, while clinicians and administrators retain responsibility for care and disclosure. Use a demo to map those boundaries before deciding which information belongs in the platform.

COPS features

Program workflows in one platform.

A participant moves between groups with no consistent administrative record.

Maintain a client profile with multiple program enrollments, each carrying its own schedule and attendance. Recurring classes and one-off appointments support different service patterns. Use custom fields and progress comments for your operational milestones, then verify how transfers and completed enrollments should be recorded. The platform does not prescribe a level of care or determine clinical readiness for a transition.

Staff must reconstruct participation history before writing a provider update.

Attendance reports and session notes connect the scheduled service with the recorded participation. Monthly reports support drafts, finalization, PDF output, and history. Staff can review unmarked sessions before preparing a summary, avoiding an assumption that a blank roster means an absence. Reporting should include only information your organization has decided is appropriate for the intended recipient.

Uploaded paperwork and generated letters are difficult to reconcile.

Client documents can be uploaded and downloaded, and merge-tag templates can populate approved provider letters. Generated-document history supplies a record of document production. Before using the workflow for sensitive treatment records, confirm your requirements for consent, access, retention, and release with the team. Storage and document generation alone do not establish that a particular disclosure is permitted.

Program fee collection is confused with clinical billing.

Use fee types, schedules, balances, and transaction history for direct program charges. Portal card payments and receipts can support participant self-service. COPS does not currently submit insurance or Medicaid claims, and this page makes no claim about coding or reimbursement. If payer billing is essential, include the existing billing system and reconciliation process in your evaluation.

Data security

COPS production runs on dedicated AWS infrastructure with KMS encryption at rest for the database and document storage, TLS encryption in transit, and a full audit log of staff activity. COPS is a HIPAA-track platform: HIPAA-capable infrastructure is in place, and production HIPAA service requires executed Business Associate Agreements and HIPAA configuration before any protected health information is stored. Tell us about your compliance requirements during your demo.

Questions and answers

Frequently asked questions

Does COPS replace our substance use treatment EHR?

Not by default. The documented strengths are provider program administration, attendance, session notes, fees, documents, and reporting. Structured clinical treatment planning, e-prescribing, and insurance claim submission are not current capabilities. Compare the needs of clinicians and administrators separately before replacing any system used for care delivery.

Is COPS automatically compliant with treatment confidentiality rules?

No blanket compliance claim is made. Your team must review applicable confidentiality requirements, consents, disclosures, access policies, and platform configuration before storing sensitive records. Production HIPAA service requires executed Business Associate Agreements and HIPAA configuration. Discuss your requirements before uploading any protected health information, and use synthetic data for demonstrations.

Can COPS record drug test results?

When enabled for your program, the documented drug-testing module records results on the client profile. Randomized test scheduling, laboratory integrations, and chain-of-custody workflows are not current capabilities. If you need those functions, show the team how your existing testing process works rather than assuming it can be replaced.

Can one participant have individual and group enrollments?

Yes. Multiple program enrollments can have separate schedules and attendance. Staff assignments and session notes help document the services delivered. Decide which information is operational and which is sensitive clinical content, and confirm access expectations before using a shared participant profile across service teams.

Can we report participation to a referral source?

Monthly reports, document templates, and court/attorney reports can support a provider update. Your organization remains responsible for confirming authorization, recipients, and permitted content. Bring an anonymized report example and your review process to the demo so the team can show the mechanics without implying automatic authorization to disclose records.
