COPS Practice Management

Court-Ordered Counseling Software for Providers

COPS is court-ordered counseling software for providers administering referred appointments and programs. Staff connect referral details with client enrollments, schedules, attendance, session notes, and progress documents. The platform supports the provider’s administrative workflow; it does not manage a court’s docket, determine legal compliance, or replace professional judgment about counseling and disclosure.

A court referral describes an obligation, but the provider still needs an operational process from intake to the final update. That process should separate documented participation from the clinician’s assessment and from the court’s decision. COPS organizes the source records so staff can prepare and review provider communications without rebuilding them from unrelated files.

COPS features

Program workflows in one platform.

Referral instructions are difficult to find when scheduling a session.

Client case information includes court, judge, attorney, and referral source; custom fields can hold your locally required identifiers and order details. Store the referral document with the client record and confirm its instructions during intake. This gives administrators context for program enrollment without treating software fields as a legal interpretation of the order.

Individual appointments and related classes use separate calendars.

Program enrollments, recurring scheduling, and manual one-off scheduling let staff organize the appointments and classes their agency provides. Assign staff to sessions and mark attendance as attended, absent, or unmarked. When a participant joins another service, keep its enrollment separate so a completed class is not inadvertently counted as a counseling appointment.

Progress updates require repeated copying from session records.

Session notes, progress fields, and progress comments provide a connected starting point for a provider summary. Monthly reports support draft review, finalization, PDF generation, and history. Staff must decide what narrative is appropriate for the recipient; a participation update need not reproduce every counseling note or imply a recommendation the clinician has not made.

Staff cannot identify which version of a referral letter was issued.

Generate provider letters from merge-tag templates and use generated-document history to identify the document produced for a participant. Before finalizing a letter, check the enrollment dates, attendance, and recipient information. Your agency’s approval and disclosure procedures remain essential; document history is a record of production, not proof that a court accepted the report.

Data security

COPS production runs on dedicated AWS infrastructure with KMS encryption at rest for the database and document storage, TLS encryption in transit, and a full audit log of staff activity. COPS is a HIPAA-track platform: HIPAA-capable infrastructure is in place, and production HIPAA service requires executed Business Associate Agreements and HIPAA configuration before any protected health information is stored. Questions and answers

Frequently asked questions

Does COPS manage court hearings or a judicial docket?

No court docket management capability is claimed. COPS focuses on the provider’s client records, program schedules, attendance, documents, and reporting. A court’s case management system remains a separate function. Explain any required exchange with the court during the demo rather than assuming an existing integration.

Can we record the referral source and case details?

Yes. The documented client profile includes court, judge, attorney, and referral source fields. Custom fields can capture additional identifiers or instructions, and documents can be stored with the record. Staff should confirm the information against the referral before using it in a provider letter.

Can reports distinguish attendance from clinical progress?

Attendance records, session notes, and configurable progress fields represent different parts of the provider workflow. Use templates and report review to keep that distinction visible. The software does not decide whether attendance satisfies an order or whether counseling achieved a clinical goal; those decisions belong to the appropriate professionals and authorities.

Does COPS provide telehealth or insurance billing?

Telehealth, structured clinical treatment planning, and insurance claim submission are not current capabilities in the approved feature register. COPS can support the administrative records around a counseling program, but evaluate the clinical delivery and billing tools separately if those functions are required in your practice.

What should we demonstrate before adopting COPS?

Walk through an anonymized referral, enrollment, appointment, absence, and progress letter. Identify who enters session records and who approves disclosure. Ask to see the final document and its history so your team can compare the result with the actual format expected by the referring agency.
