COPS Practice Management

Drug Court Software Built for Participant Compliance

COPS is drug court software for coordinating court-ordered treatment programs. Teams track each participant's court phase, treatment enrollments, class attendance, and drug test results on one client profile; generate monthly progress and court reports as PDFs; collect program fees online; and run kiosk check-ins for sessions. It serves problem-solving courts and their provider programs.

Drug court coordination lives or dies on phase visibility: who is in which phase, attending treatment, testing as ordered, and current on fees. COPS keeps each of those on one participant record and turns them into court-ready reporting.

COPS features

Program workflows in one platform.

Participant phase progress is scattered across spreadsheets, emails, and the treatment provider's separate system.

court phase field on the client profile; multi-program enrollments per participant (treatment, classes, community service) each with own schedule and attendance; custom fields for phase requirements; custom reports saved and re-runnable.

Coordinating treatment attendance, drug testing, and court dates across a team is manual.

program scheduler with staff assignments per session; drug-testing module records results on the client profile (when enabled for your program); session notes per class; dashboard calendar with bulk attendance.

Court review packets are re-assembled by hand before every hearing.

monthly reports module (drafts, finalization, PDF, history); court/attorney report type; statistical reports; document history report showing every generated document.

Collecting program fees from participants adds admin overhead.

fee schedules and balances; Stax online payments (card, ACH, PayPal invoice); client portal card self-pay with receipts; payment reports.

Data security

COPS production runs on dedicated AWS infrastructure with KMS encryption at rest for the database and document storage, TLS encryption in transit, and a full audit log of staff activity. COPS is a HIPAA-track platform: HIPAA-capable infrastructure is in place, and production HIPAA service requires executed Business Associate Agreements and HIPAA configuration before any protected health information is stored. Questions and answers

Frequently asked questions

Can COPS track drug court phases, for example Phase I through Phase IV?

Yes. Each client record has a court phase field, and phase requirements can be captured through programs, enrollments, and custom fields. Phase changes are recorded on the profile and captured in the audit log.

Does COPS record drug test results?

Yes. When the drug-testing module is enabled for your program, results are recorded on the client profile. Randomized test scheduling and lab-system integrations are on the roadmap, not yet available.

Can we generate reports for court review hearings?

Yes. Monthly reports (draft, finalize, PDF, history), court/attorney reports, statistical reports, and saved custom reports all support review hearings.

Does COPS handle participants enrolled in multiple programs, like treatment plus classes plus community service?

Yes. A client can be enrolled in multiple programs, each with its own schedule, attendance, fees, and progress tracking.

How do participants check in for sessions?

Kiosk self check-in captures a signature with a timestamped audit note, or staff can mark a full roster in bulk from the dashboard calendar.

Can participants pay program fees online?

Yes. The client portal supports online card payment with receipts, and staff can process card, ACH, and PayPal-invoice payments through Stax.
