COPS Practice Management

Batterer Intervention Program Software (BIP)

COPS is case management software for court-ordered batterer intervention programs. Agencies schedule 26- and 52-week curricula as recurring weekly classes, record attendance with kiosk signature check-in, keep session notes per class, generate court compliance letters and completion certificates from templates, and collect program fees through online payments — in one multi-location system.

BIP programs are audited on two things above all: documented session-by-session attendance over the full curriculum, and clean compliance communication with referring courts and probation. COPS produces both as a byproduct of running the program day to day.

COPS features

Program workflows in one platform.

Courts and probation require documented attendance across 26 or 52 weekly sessions — paper sign-in sheets don't survive scrutiny.

program scheduler creates the full recurring weekly curriculum; tri-state attendance per session; bulk roster marking from the dashboard calendar; kiosk self check-in captures the participant's signature with a timestamped audit-trail note.

Compliance letters, progress reports, and completion certificates are produced individually in Word.

merge-tag document templates generate per-participant letters, progress reports, and certificates; document history tracks every generated document and reports on it.

Rolling groups across multiple locations and facilitators are tracked in separate files.

multiple locations per organization with per-location settings (including kiosk configuration); staff assignments on scheduled classes; session notes per class; multi-location attendance reporting with CSV/Excel/PDF export.

Collecting program fees from court-referred participants is slow and awkward.

fee schedules and balances; Stax card/ACH/PayPal-invoice payments; client portal card self-pay with payment history and receipts; payment reports.

Data security

COPS production runs on dedicated AWS infrastructure with KMS encryption at rest for the database and document storage, TLS encryption in transit, and a full audit log of staff activity. COPS is a HIPAA-track platform: HIPAA-capable infrastructure is in place, and production HIPAA service requires executed Business Associate Agreements and HIPAA configuration before any protected health information is stored. Questions and answers

Frequently asked questions

Can COPS manage 26- and 52-week curricula with fixed session counts?

Yes. The program scheduler creates the recurring weekly curriculum, enrollments track start and end dates, attendance is recorded per session, and full rosters can be marked in bulk from the dashboard calendar.

What proof of attendance does COPS give courts?

Kiosk check-in captures the participant's signature with a timestamped audit-trail note, attendance reports export to CSV, Excel, or PDF, and per-class session notes add context when courts or probation ask for more.

Can we generate compliance letters and completion certificates?

Yes. Merge-tag document templates generate per-participant letters and certificates, and the document history report tracks every document generated, for whom, and when.

Does COPS flag missed sessions automatically?

Attendance reports surface absences and unmarked sessions per participant, and the dashboard calendar shows the current state of every group. COPS also includes automated alerts and reminders.

Can we run multiple locations and facilitators?

Yes. Settings and kiosk configuration are per-location, staff can be assigned to specific scheduled classes, and attendance reports cover the whole organization.

Can participants pay program fees online?

Yes. The client portal supports online card payment with payment history and receipts; staff can also process card, ACH, and PayPal-invoice payments.
